Client Overview

Knox City Council, located in Melbourne's eastern suburbs, serves over 160,000 residents. Their immunisation services include community clinics, a School Immunisation Program (SIP), and workplace vaccinations. Prior to Vitavo, Knox City Council’s immunisation service faced growing administrative burdens, operational inefficiencies, and limited state government funding.

 

The Challenge 

Prior to implementing Vitavo, Knox's immunisation programs relied on a third-party online booking system and paper-based processes, which resulted in long appointment times, limited session capacity, and high operating costs. The Council aimed to streamline its workflows, reduce costs, recover costs for the service and increase service capacity.

 

The Solution 

In July 2023, Knox City Council implemented Vitavo, a fully integrated digital immunisation management platform which automates 90% of the administrative and clinical workflows of service delivery. In doing so, Knox was able to significantly reduce appointment times and cut administration time from average 10 minutes to 30 seconds. The system also introduced online payment processing and automated eligibility prompts for clients to purchase vaccines, helping Knox increase paid vaccine revenue.

  • Appointment times reduced from 10 to 5 minutes, allowing Knox to serve more clients at each session.
  • $18,659 increase in paid vaccination sales margin (revenue less cost of vaccine) in the first financial year.
  • $71,239 reduction in annual operating costs: Cost per session was lowered by over $697
  • 90.5% reduction in per encounter operating loss: The net loss per encounter (after the $12 per encounter state government funding) dropped from $24.73 to only $2.01. The service is on track for community sessions to breakeven or achieve profitability in FY25.

Schools:

  • Over $70,000 reduction in annual operating costs: Knox reduced administrative staff hours required by over 50%, saving 1,482 hours per year by going digital.
